The system, in accordance with the expiration times assigned to each document that the supplier is required to submit, will alert the supplier as the expiration date approaches or as each document expires, through an e-mail notification, inviting active updating of a new version of the document.


The system will have to send document reminder notifications with the following logic: 

  • for expiring documents, it will have to send a notice 10 days before the document expires;


  • for expired documents, it will have to send a notice every 10 days after the expiration of the document.


The supplier's contact person will therefore be required to log into the platform and upload to the appropriate employee document area the expired and/or approaching expiration documents, marked appropriately in the personal document area.


Document expiration monitoring should be suspended for inactive employees, in which case the system should not send any alert e-mails for inactive employee documents. 



COMMUNICATION SENDING REMINDER EMAIL


The platform will provide tracking of document deadlines, through remainder notifications, will be handled in this way:


  • Employee document expiration: The system will send an alert email notification to the vendor's contact person to notify them of the expiration of one or more of the census employee's documents. 
  • The sending will be done ten days before the expiration of a document taking into consideration the name of each individual employee: For example, an alert ten days before the expiration of document X, of employee X. 
  • Posting will be done every ten days after the expiration of a document taking into consideration the name of each individual employee: For example, a notice every ten after the expiration of document X, of employee X.
